CABIN SISTERS - PRIVATE AREA - GUIDELINES

Hey ladies, We have decided to put all our stuff on here so you can always refer back to it when you are here and you need to know stuff. Also think it's best that we have clear boundaries with one another. Thank you so much for being part of the team so far. We are working on a couple more things that will hopefully bring in a new element of client, seeing as though the current wells are running dry. So far, the clients are happy with you all, so we are happy (",)  #DeepGratitude

Should life take you in a different direction and you want/need to leave, please give Cat a little bit of notice so that we can look for someone deserving. Should we get too many complaints from clients on a service provider, we will also need to find a replacement. Should this happen, your page and adverts will be removed. So far we are all good!

Guidelines for the Cabin and the property
This is our property and we have special permission to work from home from our body corporate and they have rules that can revoke that permission if they are transgressed. We also have a family on this property who also have certain boundaries. We don't really ask much from anyone ever, we don't charge rent and it does cost us money and effort for you and your clients to be here. We also advertise and design for you at no charge and it takes time, skills and planning. We do it because we believe in you and your service, that you are an asset to all our clients. Ultimately we have the Sanctuary in mind  long term and building a team of strong women is part of that, not only that growing a client base together for the highest good of all of us.

We do not like to repeatedly ask for things and we especially don't like being ignored or dismissed, so should that happen we will take that as a sign that you do not respect our time, money, boundaries, property, family and so on and we will take the necessary and appropriate action. Ideally it is best to make our communication a vital boundary to honour. We feel it's a small price to pay to share what we've been working on since 2002 to achieve. Cat has a goal to heal and empower the wounded Alpha female inside each of her clients and it starts with respecting these boundaries.

Unique Selling Points... We do everything for our clients, even down to managing their self care and appointment bookings. The moment they step into that cabin, Cat is at their service and you'll never see a client putting a blanket on themselves for example. It's how she's make the ladies feel special and why she is in business. Anyone not in full service of their clients is not a good fit for the cabin and the future Sanctuary. We will let you know about any communication from clients as and when they come through, Cat is always checking in on her ladies. If you have any requests, suggestions, ideas etc...please feel free to chat to us, that's how we will evolve into a successful Hive. Very important to please read through this entire page. We will ask you to sign a form to say that you have read it, understand it, will commit to it and that you still want to work at the cabin.

Advertising for each other-The Sisterhood
We all agree to refer business to each other, including sharing each others stuff on social media. We look after each other in service as well as professionally with clients and our reputations. We also agree to ensure the best services possible and to stay connected with one another. Second Meet & Greet 17 June 2018.

Booking the Cabin
  1. ​Send message to Cabin Sisters WhatsApp chat and request time and date, what you are needing to do and the times you will be there from. Include your set up and clean up time please.
  2. Cat will respond with availability and book. 
  3. First to book gets the slot.
  4. Respect operating procedures, clients and each other.
  5. Send Namaste welcome message to all new clients.
  6. In the diary: Initials of who is booked in the first column with treatment in the next column. If  you see anything else, then it's my bookings.
  7. Cabin available on sister days only however, should you need to make a special plan for a client, please contact the chat and check availability as it could be arranged.
  8. Make sure that you send reminders to your clients the week of their appointment. People are too busy these days and a cancellation is lost money.

Cancellations
A cancellation isn't only your loss, it's a loss to one of the other sisters who may have been able to use that slot at the cabin. Please be mindful when cancelling with the cabin or your clients - this must only be emergencies. If cancelling become a regular occurrence (even if it's your clients doing) this agreement will be terminated.

Cabin Operating Hours, Days & Terminology
  1. Office hours: Weekdays 09h00 - 15h00
  2. After hours: Weekdays 15h30 - 21h00 & all day Saturday
  3. Closed: Public holidays, Sundays & Mondays
  4. Sister days: Every Thursday & Second Saturday

General Notes
  1. Arrival time 09h00, so you can make appointments from 09h30 if you need to set up or 09h00 if you have nothing to set up. We have a routine so can't have anyone here before then.
  2. When you walk in, always do a site inspection and look for poop and litter. Call us to move it, but if we aren't here, please move it out the way for clients.
  3. ​If we aren't here then you will not have access to the toilet, so please bare that in mind when booking while we away. We are generally here though or make a plan.​
  4. There are no kids or pets allowed at the cabin. Not ever. No exceptions.
  5. Our guards and housekeeper help us run our business, so they are to be treated no different to your clients please. Anyone upsetting them wont be allowed back in.
  6. Fines are now issued for complex-illegal parking. R500 fine will be sent to you if it belongs to one of you or one of your clients.​ We are going to chat to our neighbour to see if she's willing to trade us a parking space. So we'll let you know if that happens, then we can park in that bay and the driveway will be free for clients.
  7. Don't be a doos, be lekker: ​If you mess something, clean it. if you break something, replace it. That also applies to if it is your client who has done it and then communicate that to Cat please.
  8. Part of being in the sisterhood is promoting social responsibility. Please can you make sure that you try encourage your clients to contribute to the community projects that we support. Part of being a success in this world is contributing to the restoration of the planet.

Website, Email, Marketing, Networking, Designing, Advertising & Social Media
We do this for everyone at the moment for various reasons. Some don't have the equipment, time, money or skills. It is your responsibility to make sure that the website stays up to date and has all the things clients need to have a pleasant service with you. Should you need anything done, please message us with the details and it will get done asap. Send specials around the middle of the month for the following month. Vital to let us know if any contact info changes. Those of you who have Namaste email addresses, please make sure that you check them regularly, we do not have them backed up here and we are not checking them. Those who need a Namaste email address, please let us know so we can create it and set it up on your phone. Please use your website address when talking to people so you can promote the Namaste website and circulate business to all the sisters.

Opening Up
  1. Make sure you do not park in client parking. Clients get the 2 driveway positions behind where my car goes. Please use visitor parking.
  2. Key on the cat keyring inside the house, if we aren't here, we will tell you where to find it. Open the lock, leave the key in the lock in the door.
  3. ​Open blinds​. Keep the blinds pointing up and not down on the pedi side as the sun comes in and burns clients' arm and the furniture.
  4. Switch plugs (2 areas) and main light on.
  5. Ensure your room is set up and ready for your client before they arrive and that you are ready to receive them and make them feel special.
  6. ​Offer your client something to drink on arrival. Normal tea and coffee is free. Cappuccinos and fridge drinks must be charged to your client. See the drinks and snacks section below.
Locking up
  1. Clean up after your client has left, take dishes to the house and put everything back in it's place.
  2. Close windows and blinds.
  3. Switch all the plugs off (2 areas). You can tell if they are all off because the Gelish lamp and hair machine lights will light up the cabin as you are closing it. Should be dark (even in the day).
  4. DO NOT TURN THE FRIDGE OFF. It is on it's own plug and is the only one that stays on. The rest of the plugs are all connected to one extension which gets switched off. 
  5. Lock the cabin properly. Check yourself.
  6. Throw the key in the door past the security gate.
  7. ​Make sure the driveway gate is closed behind you.

Summer
  1. Open windows and doors and keep them open.
  2. Keep fan on you when really hot to keep you cool, especially for any energy transfer treatments. Don't oscillate.
  3. If client is hot, use the small fan and point at the head.
  4. Make sure the cooler is on with switch at the back so you have cold water.
  5. There is an ice machine inside the house for all the ice eaters.
  6. Drink a lot of water yourself and make sure your temperature stays cool - you need to be 100% for your client to be okay.
Spring, Autumn & Winter
  1. Put heater on with all windows and doors closed until the room is heated - usually 45min. Keep the heater away from the wall
  2. Put electric blanket on - choose the right setting for the day. Usually set on 3 until client is on bed for 10min and then set to 1.
  3. Use the blanket to cover client, always snuggle them in.
  4. Heated mat under the nail table if you need to warm your feet.​
  5. Only open windows if hot otherwise it cools down too fast.
*Please be mindful of the heating times. Cat usually puts all the lights and heating on for you 30min before your arrival so that it's not freezing, this costs a lot of money, so please confirm appointments.

Welcome Message to all new clients
​VERY IMPORTANT

It is compulsory to send this to all your new clients. Copy and paste the message below and enter in your own information where you see ***. Every time a new one is sent to you to change, please do it as requested and make the changes as soon as you are next available. If you do not do this, we will remove your appointments in the cabin diary. We cannot afford to lose the business over a new client not knowing the rules of the complex or cabin. Exit code is not to be messaged to anyone, it must be verbalised as your client is leaving the cabin. Once you have finished editing it, please send to Cat to check that it's done correctly.

Those are all your own. We only care about how the cabin is seen and it must be uniformed. Outside of that, you do your own things. If you are using Namaste's name, then it needs to be run by us first please.

Accounts & Trades
  1. Everyone does their own accounts, uses their own bank details and accounts. Should there ever be any mistakes (has happened before), please notify us as soon as you know so we can fit it.
  2. Those of you who are on trades for services with us, please make sure that when we send you your monthly account, you send ours to us. Please note that these trades are trades for services and has nothing to do with you using the space, utilities or equipment in the cabin. Those services are direct trades. 
  3. Trade appointments are only allowed during office hours.

Drinks & Snacks
We have been very broke so this section of the cabin has been a little on the empty side, but I am working on a couple of ideas and am hoping to get the bucks soon to make it happen.
  1. Water, tea and coffee are complimentary.
  2. One complimentary biscuit per person, pay for additional.
  3. Payable items: Beer, cider, coolers, wine, champagne, cappuccinos, hot chocolate and flavoured teas.
  4. Price list in the cabin.
  5. If you or your client has anything, please write it on the list in the cabin. We will send you an account like you normally get for your nails from Cat.

Cabin Products
  1. Please promote everything in the cabin, if someone expresses an interest in something, please notify Cat so that she can close the sale.
  2. If it's a regular client you know well, they are allowed to put it on their account.
  3. Price list in the cabin.
  4. If you or your client has anything, please write it on the list in the cabin. We will send you an account like you normally get for your nails from Cat.

These are the comments that the Sanctuary is currently having it's foundations rooted in. Sticking with what works and trying to change what doesn't. We didn't want to toot our own horn, we did however want to show you how most of our clients think and feel.
